Your Role as Student Life Coordinator

The Coordinator of Student Life Marketing and Administrative Services contributes meaningfully to Student Life’s mission by ensuring the smooth and effective daily operations of University Housing and Student Engagement, while also playing an integral role in student-facing marketing and communications initiatives. Positioned at the intersection of operational coordination and student engagement, this role encompasses a range of responsibilities, including process management, budget reconciliation, creative outreach, and event promotion. 

 

The coordinator plays a central role in managing purchasing systems, tracking payments, and maintaining fiscal documentation for the United Student Association and over 90 recognized student clubs and organizations, ensuring timely reconciliation and compliance with institutional policies. With a strong focus on both customer service and behind-the-scenes logistics, this position supports office workflows, assists in managing student life communication platforms, and promotes key programs, including housing selection, summer conferences, and living-learning communities. The role is essential in enhancing occupancy efforts, amplifying the student experience, and contributing to a welcoming and well-organized campus environment. 

 

Reporting: Reports directly to the Assistant Vice President & Dean of Students and works closely with colleagues across the Student Life portfolio. 

 

Key Responsibilities:

 

🔹 Student Life Point of Service & Housing Operations (30%): 

  • Serve as the primary point of contact for housing-related inquiries; deliver exceptional service to students, families, and campus visitors. 
  • Oversee the point-of-service functions for the housing office including walk-in and phone inquiries. 
  • Serve as the lead staff member for the Student Life front-of-house service point, ensuring timely, friendly, and accurate responses to inquiries from students, families, and guests. 
  • Manage all aspects of key control and room access systems, including auditing, issuing, and reconciling physical keys and key-related communications. 
  • Coordinate housing-related communications such as assignment updates, transition notices, and break housing details. 
  • Recruit, hire, train, and supervise work-study and student staff assisting with front desk operations and administrative projects. 
  • Coordinate mail and package services from the central office in collaboration with the central receiving office on campus, as well as flat mail or package distribution to clubs, staff, or residents.  
  • Create and maintain key office processes: scheduling, mailings, ID photo approvals, filing, and event logistics and training for point of service staff. 
  • Support housing operations, including student room changes, housing withdrawals, damage billing, and ID photo approvals. 
  • Coordinate housing-related billing processes, student room changes, damage billing, break housing, and key management. 
  • Administer the campus ID card program for students, staff, faculty, and guests, including scheduling and processing photo ID sessions. 
  • Manage temporary ID cards for students with lost or inactive credentials and coordinate proper return and reconciliation. 
  • Coordinate billing for replacement ID cards in collaboration with Student Accounts. 
  • Maintain inventory of card supplies and equipment and ensure timely restocking and functionality. 
  • Collaborate with Central IT and Public Safety to manage card access permissions through the WebCard Center platform. 
  • Serve as the liaison between Student Life and campus partners for card-related troubleshooting, building access changes, and emergency response coordination. 

 

🔹 Fiscal Management & Purchasing (30%): 

  • Monitor and reconcile departmental purchasing through systems such as CentreSuite and Banner. 
  • Process purchase orders and pay requisitions based upon purchase amounts.  
  • Process direct pay requests, vendor invoices, and maintain accurate budget tracking systems. 
  • Assist in tracking procurement card purchasing, receipts, and the reconciliation process for clubs, organizations, and resident assistants.  
  • Support purchasing, inventory, and office supply management for the department. 

 

🔹 Marketing & Communications (20%): 

  • Assist in the development and execution of strategic marketing plans for University Housing and the broader student experience. 
  • Oversee communication and marketing to parents through the Campus ESP program through an annual communications plan.  
  • Manage and create content for departmental social media platforms and maintain the department's web presence. 
  • Support outreach campaigns to increase housing occupancy, targeting students who are not required to live on campus. 
  • Collaborate with Admissions, Marketing & Communication, and other partners to ensure cohesive messaging. 
  • Contribute to the marketing and promotion of living-learning communities, summer camps, conferences, and campus events. 

 

🔹 Event and Conference Coordination (20%): 

  • Assist in coordinating logistics and support for summer conferences, camps, and department-sponsored events. 
  • Manage space reservations such as the Dugan Hall Conference Room and assist with catering and travel arrangements. 
  • Provide administrative support for events promoting housing selection, leadership programs, and community-building initiatives. 

 

What You Need to Succeed:

Qualifications:

 

Education

  • Bachelor’s degree is preferred; an associate’s degree will be considered with relevant experience. 

Experience

  • Two years of relevant experience required.
  • Experience in student affairs, marketing, office administration, or customer service is preferred. 
  • Strong project management experience and analytical skills. 
  • Experience training and supervising student staff.  

Knowledge, Skills and Abilities

  • Excellent written and oral communication skills. 
  • Strong interpersonal skills and the ability to work well in a team and individually. 
  • Skill and sensitivity in interacting with individuals from other cultures.  
  • Excellent leadership skills, organizational skills, and attention to detail.  
  • Strong critical thinking and problem-solving skills.  
  • Familiarity with computer applications and ease and comfort with technology. 
  • Strong computer technology skills, such as Microsoft Suite and Outlook with Banner, CBORD, CS Gold, and CentreSuite, are a plus. 
  • Ability to effectively prioritize multiple projects. 
  • Must be eligible to work in the United States.
