Your Role as Human Resources Coordinator:

The Human Resources Coordinator provides administrative and operational support for the Human Resources department by coordinating HR transactions, recruitment and onboarding, employee benefits, payroll support, faculty contract administration, and employee records. This position ensures compliance with employment laws and university policies, serves as a resource for faculty and staff regarding HR programs, and supports the Director of Human Resources while maintaining accurate records, overseeing office operations, and delivering exceptional customer service.

 

Key Responsibilities:

 

  • Maintain employee records, ensuring completion and accuracy of details such as Faculty contract information, pay rates, organizational structure, status changes and other key details.
  • Maintain database for LENS program completing data entry, collection of drivers licenses and make timely notification to supervisors if necessary.
  • Work with Deans’ staff to issue adjunct contracts each semester.
  • Manage faculty and staff tuition waivers.
  • Provide life insurance conversion forms and collection of laptops, keys and id cards from exiting faculty and staff.
  • Provide customer service to faculty and staff regarding payroll, paid time off and benefits.
  • Assist with employee engagement events.
  • Provide administrative support to Director of Human Resources.
  • Maintain accurate employee files and manage audit processes for compliance.
  • Assist with coordination of all benefits, open enrollment, workers compensation, disability and paid family leave.
  • Assist with filing Workers Compensation claims and completing paperwork requested from the insurance company.
  • Oversee office responsibilities. Process CentreSuite and direct pay requests through BANNER and ordering of supplies.
  • Hire, train, supervise and schedule student employees.
  • Assist with new hire orientation and on boarding process for new faculty and staff.
  • Assist with collection of new hire paperwork such as I-9 form and documentation, tax forms, signed offers and job descriptions, and background checks.
  • Handle processing of I-9s through E-verify system.
  • Run reports and process disability and paid family leave invoices.
  • Submit University HR communication to the Dome.
  • Handle scheduling rooms for meetings and coordinating visitor parking.
  • Maintain general HR email inbox and respond to requests and questions.
  • Review, track, and document compliance with mandatory and non-mandatory training which may include annual harassment training.

 

What You Need to Succeed:

Education & CERTIFICATIONS :

  • A Bachelor’s degree in Human Resource Management or related field is required.

 

Experience:

  • Minimum of 1 year of Human Resources or related internship experience(s) is required.
  • HRIS experience preferred.

 

KNOWLEDGE, Skills & Abilities:

  • Ability to work independently.
  • A demonstrated history of excellent judgment, self-direction and strong interpersonal skills.
  • Strong decision-making ability, strict observance of confidentiality, close attention to detail, accuracy and follow-through.
  • The ability to anticipate schedules and deadlines and move projects forward.
  • Expert level verbal and written communication skills.
  • Strong analytic skills and business acumen.
  • Proficient in Microsoft Office, especially Word, Excel and PowerPoint with the ability to learn new programs.
  • Excellent calendar management skills, including the coordination of complex meetings.
  • Strong organizational skills and the ability to manage multiple and diverse projects while meeting daily deadlines.
  • Knowledge of Jesuit higher education and the University’s mission. 
  • Knowledge of Banner and Navigator systems a plus.
